For our client in Brussels, a renowned law firm located near the Palace of Justice and the European Quarter, we are looking for a new colleague to manage the reception in a professional and welcoming manner.
Your responsibilities will include (among others):
- Ensuring a constant and professional presence at the reception desk
- Handling all incoming calls
- Managing incoming and outgoing mail
- Managing meeting room bookings
- Making hotel reservations for visitors
- Booking taxis
- Acting as the first point of contact during internal events
- Providing support during peak periods and special situations (e.g., IT relocations, onboarding, etc.)
- Offering administrative support to various departments
- Potential involvement in drafting a reception manual
Working schedule: alternating weekly shifts from Monday to Friday:
- Even weeks: 8:30 AM – 2:30 PM (6h/day = 30h/week)
- Odd weeks: 1:30 PM – 7:30 PM (6h/day = 30h/week)
Our client’s office is easily accessible via metro (Louise – lines 2/6), tram (lines 93, 97 via Defacqz or Place Stéphanie), and several bus lines.
Profile
We are looking for a new colleague who meets the following criteria:
Skills & Competencies:
- Languages: Excellent command of English, good knowledge of French (3/5), basic understanding of Dutch and German
- Flexibility: Able to multitask and switch easily between tasks
- Customer orientation: Always delivering service with a smile and a welcoming attitude
- Organisational skills:
- Able to manage and follow up on tasks independently and efficiently
- Able to prioritise and handle multiple tasks simultaneously
- Communication: Strong language and interpersonal skills with a professional and client-friendly approach
- Team player: Collaborates smoothly with colleagues and various departments
- IT skills: Proficient in Word, Excel, and Outlook
Professional Duties:
- Registering, sorting, and franking mail
- Copying, filing, typing, and formatting documents
- Answering calls and forwarding to the appropriate contact or taking messages
- Greeting and directing visitors to the appropriate person, department, or location
- Consulting, entering, or updating data on the computer (e.g., badge creation, register entries, phone call reports)
- Identifying visitors’ needs and providing suitable assistance
